Your mission
As marketing assistant for the Corporate Marketing team, your daily job consists of 3 main missions:
Administrative management of the intellectual property (IP) files of the company (patents, brands & designs) in strong partnership with the IP specialist of BEA
Administrative management of the standard & normative files of the company (certifications, document database management,…) in strong partnership with the product compliance manager of BEA
Administrative help for the corporate marketing department including travel & meeting preparations, product & project database management, document encoding & follow up with the accounting department.
Your activities
Within the Corporate Marketing Department, your activities are:
Monitoring the evolution of legislation and standards: alerts, purchase of standards, classifying.
Monitoring and management of NDAs (classification and registration)
Management and follow-up of subscriptions & invoices concerning new or existing IP files (patents, brands & designs).
Handling incoming mail (paper & electronic) and dispatch or reply
Sort & classify paper and electronic IP related documents and keep the IP database up to date.
Phone calls & e-mail exchanges with different IP cabinets
Certifications follow-up (TÜV or others): end of certificate validity alerts, purchase orders, invoices, budget monitoring, certificate classification, administrative management of parallel certifications
Normative committees: follow up of annual fees, organization of trips
Organization of meetings with certification body (s): dates, purchase orders, booking of rooms and meals, invoices
Help the corporate program & product managers by keeping the product & project database up to date.
Administrative help in the “document digitalisation process” of the department (integrate into Microsoft dynamics)
You ensure the follow up of the department’s expenses by monitoring the annual budget
Writing some meeting reports in English (1-2 per weeks max) could also be part of the job (the global meeting process is currently under review at BEA).
Your skills and competencies
You have thorough knowledge of English and French (written and oral). German is a plus.
Autonomous, flexible & detail-oriented.
Team-spirit & collaboration with colleagues from other departments
Good written and oral communication skills
Ability to synthetize meeting discussions and related action lists.
Certain affinity for technological products.
